Specialist online accounting for dropshipping

Do you run a store based on selling without your own warehouse? Our accounting for dropshipping is tailored to how this business actually works - importing goods from outside the EU, suppliers from China and AliExpress, customs duty and import VAT, the IOSS procedure for shipments to consumers, and the VAT OSS scheme for sales to other EU countries. You get a regular, experienced accountant who knows the realities of online trade and keeps track of deadlines and filings for you.

This is an accounting office for dropshipping stores in which online accounting is combined with the care of a regular accountant, rather than self-service through an app. At the outset we establish the most important thing - whether you sell in your own name (trading in goods) or act as an intermediary in the sale (a service) - because your entire taxation depends on it. We work remotely across Poland, in Polish and English.

Who is this accounting service for?

Sellers trading in their own name

Store owners who buy goods from a supplier and resell them in their own name - they account for sales revenue and the cost of purchase and need support with imports, customs duty and VAT.

Sales intermediaries

People whose business consists of acting as an intermediary in selling the supplier's goods, that is providing a service - for them the correct, often higher rate of ryczalt (lump-sum tax) and the proper treatment of commission are key.

Stores selling within the EU and to consumers

Sellers shipping goods to customers in Poland and other EU countries who must account for VAT OSS, the IOSS procedure for shipments to consumers, and returns without a physical warehouse.

What does accounting for dropshipping cover?

Defining the model: trading or intermediation

We distinguish selling in your own name from intermediation. This determines your entire taxation, the ryczalt (lump-sum tax) rate or settlement in the KPiR (revenue & expense ledger).

Importing goods from China and outside the EU

We account for imports from suppliers in China and on AliExpress as well as from within the EU, including customs duty and import VAT, and ensure purchases are recorded correctly.

The IOSS procedure for sales to consumers

We help establish and settle VAT under the IOSS procedure for low-value shipments to consumers, so as to avoid double taxation.

VAT OSS for sales to EU countries

Sales to consumers in other EU countries, once the threshold is exceeded, require VAT under the OSS procedure. We register and report the transactions.

Settling returns and complaints

Returns and complaints in dropshipping complicate the accounts. We organise revenue and cost adjustments so that the documentation is consistent.

Comparing the form of taxation and the KPiR

We calculate the options - ryczalt (lump-sum tax) for trade or services, or general rules and the KPiR (revenue & expense ledger) - and present them so you can choose what suits your store.

Why do dropshipping stores choose Luno-Group?

You get a regular, experienced accountant who knows the specifics of dropshipping - distinguishing sales in your own name from intermediation, importing goods from China and outside the EU, customs duty and import VAT, the IOSS and OSS procedures, settling returns, and determining the appropriate ryczalt (lump-sum tax) rate or keeping the KPiR (revenue & expense ledger). We work fully online and keep track of deadlines and documentation, and you can talk to us in Polish or English (PL/EN). Instead of operating yet another app, you have a regular accountant who takes tax matters off your hands.

Frequently asked questions

Before you entrust us with your store's accounting.

How do you account for dropshipping?+

First we establish the business model. If you sell goods in your own name, you account for sales revenue and the cost of purchase, and ryczalt (lump-sum tax) for trade or the KPiR (revenue & expense ledger) may be available. If you act as an intermediary, you provide a service with a different, often higher, ryczalt rate. We establish this distinction at the start of our cooperation.

What is the difference between selling in your own name and intermediation?+

This is a key distinction in dropshipping. Selling in your own name is trading in goods - you account for revenue and the cost of purchase. Intermediation is a service taxed at a different ryczalt (lump-sum tax) rate. Your entire taxation depends on it, which is why we analyse your contract model and the flow of goods.

How do you account for imports of goods from China?+

Goods brought in from outside the EU, for example from AliExpress suppliers, are subject to customs duty and import VAT, and the way they are settled depends on the value of the shipment and the recipient. We help to record the import, the documentation and the customs and tax liabilities correctly, so that you avoid errors and arrears with the tax office.

What is the IOSS procedure and when do I need it?+

IOSS is a simplified procedure for settling VAT on sales of low-value goods imported to consumers in the EU. It allows you to avoid collecting VAT at customs clearance and to simplify the handling of shipments. We will check whether your sales model qualifies for IOSS and help you implement and settle it correctly.

How do you account for VAT on sales to other EU countries?+

Distance sales to consumers in other EU countries, once the common threshold is exceeded, require VAT to be settled under the OSS procedure at the rates of the buyer's country. We help you register for OSS, monitor the threshold and report transactions correctly, so that your store operates in line with the regulations.

Is the service provided entirely online?+

Yes, this is online accounting. You send documents, sales reports and purchase invoices through the Client panel (you get access after signing the contract), and you stay in touch with a regular accountant remotely, with data security in mind. We serve dropshipping stores from across Poland as well as those selling abroad, and we speak Polish and English.
